Call for Presentations: Introduction & Purpose:

For the past several years, the Minnesota EMS Medical Directors Conference advisory committee has received requests from healthcare and industry organizations to support speakers at our annual “State of The Art in EMS” Conference. In order to best organize the requests, we have developed a submission process to ensure equality and diminish bias when selecting presentations. The purpose of this communication serves as both an invitation to submit presentation / speaker requests and will provide an outline of selection process and submission requirements.

Selection Process:

Ranking and selection will be conducted as blinded review by the conference Advisory Group. Consideration of identification of learning need, topic, creativity, uniqueness of information, timeliness of the issue and relevance to EMS will be most highly considered by the reviewers. Presentations not selected this year are eligible, (and are encouraged) to be resubmitted for future consideration. Space is limited on the conference schedule; therefore the deadline for submission is mandatory. Please realize that presentations are not intended as a marketing tool or advertisement for your organization – Please keep this in mind during the submission process, while the presentation is finalized for the speaker and during the actual presentation.

Submission Requirements:

Submissions received after Midnight on July 15th, 2025 will not be considered and must adhere to the following brief abstract format requirements:

Primary Abstract

  • Submitting Organization or Company Name: Include contact info. for person submitting RFP.
  • Format: Lecture, Q&A Session, Panel Discussion § Must Include: Suggested speaker(s)/Name(s), Educational degree(s)/Certification(s), Level of expertise and specific qualifications. Include brief bio – full CV not necessary.
  • Needs Assessment/Identification of need for specific learning.
  • Identification of current gap in learning, if applicable. What is the gap? Is the identified gap in: Knowledge/Competence/Performance? Can results of learning be measured post-conference? How?
  • Title of presentation
  • Introduction / Background: 1-2 paragraphs.
  • Participant learning objectives: 2-4 total.
  • Presentation relevance to rural and metro EMS: 1 paragraph. Blinded Abstract

• Identical to the primary abstract but exclude speaker(s) name and submitting organization or company name, as well as any hospital, company or EMS identifiers.

Both documents must be submitted to Margaret Miller by Midnight (CST) on July 15th, 2025

Committee review, scoring and ranking of the abstracts will be completed by August 3rd, 2025. The contact person submitting will be notified via email following the voting/decision making process. For those selected, the submitting organization will be responsible for the following financial expectations:

  1. All expenses related to speaker(s), including lodging and travel costs, (vehicle rental, fuel, meals), honoraria and all related expenses.
  2. MN EMS Medical Directors Association Support Fee:
    Health Care Organizations: $500.00
    Industry: $850.00
